Client-document intake
For accounting, tax and bookkeeping firms of 2 to 25 people
Pilot $850
A client uploads a W-2, a 1099 or a bank statement. It's renamed to your convention, filed in that client's folder and checked off their list, without anyone on your team touching it. It all runs inside accounts your firm already owns.
What the workflow does
A client uploads a document
Through your portal, a shared folder or a secure upload link.
It's renamed
To your firm's naming convention, such as Client, 2026, W-2, Employer.
It's filed
In that client's folder for the right tax year.
It's checked off
On that client's document list, so you can see what's still missing.
Anything unclear waits for you
Files it can't place go to one review folder with a note, so nothing gets lost.
Start with a 30-day pilot
$850
Fixed, and paid up front.
- We build one intake workflow for one portal and storage pair in about 10 business days.
- It runs for 30 days with the clients you choose.
- If we can't deliver a working workflow within 15 business days of getting access, you get the full $850 back.
After the pilot
-
Production setup
$2,000fixed
Every client and document type, monitoring and error alerts, and one more workflow. Includes 60 days of fixes.
-
Care plan
$400a month
Starts on day 61 unless you decline it. Monitoring, fixes when one of your apps changes, up to 2 hours of small changes a month, and a reply within 1 business day. Cancel with 30 days' notice.
Other workflows we build: reminders that chase missing documents before deadlines, new-client setup across your portal, billing and folders, and a weekly view of which clients are still waiting on what.
Your clients' data stays with you
- Everything runs inside accounts your firm owns, and your firm keeps paying its own software subscriptions.
- We never copy client files to our systems or put them into AI tools. We build and test with made-up documents.
- Every pilot includes a data processing agreement. Because client data stays in your accounts, we're a simple vendor to cover in the information security plan the FTC Safeguards Rule requires of firms that prepare taxes.
Your tools
We check your tools before you pay. Some portals give outside tools no way to connect, and if yours is one of them, we'll tell you on the first call.
No portal yet? Plenty of small firms still get tax documents by email. We can set up a secure upload link in Dropbox, OneDrive or ShareFile, whichever you already use, with the same filing workflow behind it.
Timing
Firms lock down their systems from January to mid-April. A pilot takes about 10 business days to build, so one that starts by December 5 is running before January's uploads arrive. Pilots that start later wait until May.
